How to scan a document to PDF

To scan a document to PDF, open the RealScaner scanner in the browser, capture the page, mark the four edges, and download the file. There is no app to install. Processing stays on the device. The same steps work on a phone or a computer.

People search this when a clerk, teacher, or landlord asks for a PDF of a signed form, receipt, ID, homework, or letter. A hardware flatbed still belongs on certified copies, notarized packets, and bound books. Everyday paper does not. If you want the no-account path spelled out, see how to use an online document scanner for free. The camera-to-PDF walkthrough is in how to use a document scanner. Windows desk setups are in which PDF scanner is best for Windows. Recurring app charges: how to cancel a PDF scanner subscription.

What a scan-to-PDF file actually is

A scan to PDF is a picture of the paper, squared and packed into a PDF so email and upload portals can open it. Exporting a Word file is a different job. The destination still decides the rest: most offices want one PDF; some visa and HR sites want a JPEG of one side of an ID. Export the format the form lists, then check the kilobyte cap.

Markup on a scan is a drawing on the page, and a cryptographic digital signature is a separate, certificate-based step.

Scan the page in the browser

Put the sheet on a dark, plain table. Smooth wrinkles. If the sheet is thin, slide a blank page underneath so print from the back does not show through. Hold the camera straight above the page, or import a photo you already took if the text is sharp.

  1. Open realscaner.com in the browser.
  2. Choose the camera or import a photo. Leave a thin margin so all four corners stay in the frame.
  3. Mark the edges. Drag each corner onto the paper. That squares a page shot at a slight angle.
  4. Add the next page in the same workspace if the packet has more than one sheet.
  5. Download PDF. Open the file and scroll it before you send it.

Phone-only steps live in how to scan a document from a phone online. iPhone Safari notes are in how to use a document scanner on iPhone. If you have no hardware scanner at all, see how to scan a document without a scanner. Lighting detail is in how to scan a document on your phone.

Phone and computer both work

On a phone, Safari or Chrome is enough. The camera button opens your phone's own camera for one shot. A gallery photo can become a scan if the paper fills the frame. If the smallest line is already blurry, retake the picture rather than enlarging a soft JPEG.

On a Windows or Mac computer, import a photo of the page. The simplest route is to shoot the page on your phone and send the picture, or the finished PDF, to the desk. The PDF is the same file either way.

Lighting and a clean crop

  • Use window light from the side. Ceiling lamps put a hot spot in the middle and a shadow from your hands.
  • Turn the flash off on glossy paper and thermal receipts. Move the page until the glare is gone.
  • Fill the frame with the paper. Then mark the edges so the background table drops out.
  • Capture one page at a time. Photographing a stack hides the lower sheets.

Name, compress, and send

Name the PDF for the clerk who will open it, for example 2026-10-rent-receipt.pdf. Keep one file per packet. Open the PDF and confirm dates, stamps, and both sides of an ID if the form asked for them. If a portal rejects the packet, follow how to prepare a PDF for an upload portal.

Stay on RealScaner for the follow-on jobs, all in the browser. Shrink a large file with PDF compression. Reorder or drop pages in Organize PDF. Stamp a copy with Watermark PDF. Add page numbers. Draw a name on a signature line with Signature maker. If the portal wants a JPEG of one side of an ID, export JPEG from the scanner or shrink a photo with image compression.

When a scanned PDF is the right tool

Scan-to-PDF covers receipts, homework, invoices, meeting notes, and most “please send a PDF” requests. Bound books, very small type on glossy magazines, and any job that requires a certified or notarized copy call for a flatbed or the office’s own process. For that line, read when a phone scan is good enough.

A short checklist before you send the file

  1. Open the PDF and scroll every page.
  2. Confirm signatures, stamps, and dates are fully visible.
  3. Confirm the page order matches the form.
  4. Check the file size against the portal or email limit.
  5. Use a date-and-purpose file name.

Common questions

How do I scan a document to PDF?

Open RealScaner in the browser, snap the page or import a photo, mark the four edges so the paper is squared, add more pages if you need them, then download PDF. You do not install an app.

Can I scan a document to PDF on my phone?

Yes. Use the same site in Safari or Chrome. Tap the camera button, shoot the sheet from above, crop the corners, and export PDF. A gallery photo works if the text is already sharp.

Can I scan a document to PDF on a computer?

Yes. Open RealScaner on Windows or Mac, import a photo of the page, mark the edges, and download PDF. The easiest way to get that photo is to snap the page on your phone and send it to the computer.

Is a scanned PDF accepted for email and uploads?

Most school, office, and portal uploads accept a clear, full-page PDF under the file-size cap. Identity cards, notarized copies, and court filings still follow the office’s own rules. Read the upload page before you send the file.
