Privacy Policy
Effective date: September 14, 2026
Last updated: September 14, 2026
This Privacy Policy explains how RealScaner (“we,” “us,” or “our”) handles information when you visit realscaner.com, including its localized pages, browser-based document scanner, PDF tools, image tools, signature tools, contact form, and related services (collectively, the “Service”).
This policy is written for the current browser-first product. It must be updated before RealScaner adds accounts, payments, cloud storage, OCR, server-side processing, email marketing, advertising vendors, or other material data practices.
1. Contact details
For privacy questions or requests, contact RealScaner:
Privacy email: feedback@realscaner.com
Contact form: https://realscaner.com/contact-us/
2. The Service and local document processing
RealScaner currently provides:
- a document scanner with camera capture, file upload, clipboard import, edge correction, annotations, signatures, enhancement, page management, and PDF, JPEG, PNG, WebP, and SVG export;
- PDF compression;
- PDF organization, including reorder, rotate, delete, extract, and export;
- PDF text or image watermarking;
- PDF page numbering;
- image compression with target-size and format controls; and
- signature drawing, signature-image cleanup, transparent PNG export, clipboard copy, and same-session PDF handoff.
During normal use, document images, PDFs, camera captures, clipboard images, annotations, signatures, page arrangements, edits, and exported files are processed in your browser on your device. RealScaner does not normally upload or store that document content on its servers.
The signature-maker handoff to the scanner uses temporary browser session storage and is consumed during the same session. Browser memory and temporary storage can be lost when you close a tab, refresh, clear site data, or the device or browser fails.
This local-processing statement does not apply when you voluntarily include document content in a contact message, use a third-party link, or use a future feature that clearly states that server processing is required.
3. Information we collect
Information you provide
If you use the contact form, we receive the name, email address, subject, and message you submit. You can use the form for support, bug reports, feature requests, privacy requests, accessibility feedback, or other questions.
Do not send passwords, payment-card details, government identity numbers, medical records, or other sensitive information unless it is necessary for your request.
The form sends information to the RealScaner contact endpoint and the RealScaner feedback team. The website does not use contact messages as document storage. The feedback team and any email, ticketing, hosting, security, or delivery provider can retain a message for as long as reasonably necessary to respond, maintain records, prevent abuse, resolve disputes, or comply with law. Confirm the actual provider and retention period before publishing.
Information collected automatically
Depending on the page, device, browser, consent choice, jurisdiction, and enabled services, information can include:
- IP address and request information;
- browser, operating-system, and device information;
- screen or viewport size, language, and time zone;
- approximate location derived from an IP address;
- pages visited, referring page, navigation path, and timestamps;
- clicks, scrolling, form interactions, and feature use;
- performance, error, diagnostic, and security information;
- cookie, local-storage, session-storage, and pseudonymous identifiers;
- advertising and analytics identifiers where permitted; and
- ad impressions and interactions where advertising is enabled.
Some information is collected directly by third-party providers such as Google or Cloudflare. Those providers can act as independent controllers for some processing. Their policies apply to their processing.
Camera and device permissions
When you choose camera capture, your browser requests camera permission. The camera image is used by the scanner in the browser. RealScaner does not normally receive the camera stream or camera image unless you separately send it through a feature that states otherwise.
4. Purposes and legal bases
We use information for the following purposes:
| Purpose | Information | Legal basis |
|---|---|---|
| Operate pages and browser tools | Request, device, browser, and temporary local data | Providing the functionality you request; legitimate interests in operating the Service |
| Remember theme and privacy choices | Local storage and consent records | Necessary for requested preferences and legal compliance |
| Provide support and answer requests | Contact details and message content | Taking steps at your request; legitimate interests; legal obligations |
| Secure, debug, and protect the Service | IP address, request, device, error, and security information | Legitimate interests; legal obligations |
| Measure traffic and improve the Service | Analytics and performance information | Consent where required; otherwise a lawful non-consent basis only where permitted and configured |
| Display, measure, and personalize advertising | Advertising, device, browsing, and ad-interaction information | Consent where required; applicable opt-out and privacy signals; legitimate interests only where lawful |
Where we rely on consent, you can withdraw it at any time. Withdrawal does not affect processing that occurred before withdrawal.
5. Cookies and similar technologies
RealScaner uses local storage, session storage, cookies, scripts, pixels, tags, beacons, and similar technologies. Our Cookie Notice describes current categories, examples, purposes, and retention:
https://realscaner.com/cookie-notice/
Strictly necessary storage supports core site operation, theme settings, and privacy choices. Analytics, advertising, and non-essential performance technologies are optional where applicable law requires consent.
For users in the EEA, the UK, and Switzerland, RealScaner must obtain and record valid consent before using non-essential cookies or similar technologies where consent is legally required. The consent interface must provide an equally clear way to reject optional technologies and an easy way to withdraw consent.
6. Google Analytics
RealScaner uses Google Analytics 4, currently identified by measurement ID G-3M8EZ74CV9, to measure traffic, understand page and feature use, diagnose technical problems, and improve the Service.
Google Analytics can process page views, approximate location, device and browser details, referral source, session information, interactions, technical identifiers, and IP-related information. RealScaner does not intentionally send document images, document text, signatures, annotations, or exported file contents to Google Analytics.
Analytics tags must follow the consent configuration described in this policy and the Cookie Notice. Google’s information about how it uses data from sites and apps is available at:
https://business.safety.google/privacy/
7. Cloudflare services
RealScaner uses Cloudflare for delivery, security, reliability, and, where enabled, Real User Monitoring or similar performance measurement. Cloudflare can process IP address, request metadata, device and browser information, performance data, security events, and diagnostic information.
Performance measurement that is not strictly necessary must be treated as optional where applicable law requires consent. Review Cloudflare’s current configuration and retention information before publishing.
8. Google AdSense and advertising
RealScaner uses Google AdSense to display advertisements. Google and participating advertising partners can use cookies, local storage, pixels, advertising identifiers, IP address, device and browser information, page context, approximate location, ad interactions, and previous visits to RealScaner or other services where permitted.
Advertising purposes can include:
- serving contextual or personalized advertisements;
- measuring impressions, clicks, and performance;
- limiting ad frequency;
- preventing invalid traffic, fraud, and abuse;
- generating reports; and
- maintaining advertising security.
Third-party vendors, including Google, can use cookies to serve ads based on a user’s prior visits to RealScaner or other websites. Users can manage personalized advertising through Google Ads Settings and My Ad Center:
RealScaner does not intentionally provide document content to Google or advertising partners for advertising. Advertising providers can independently process information about the page, browser, device, and advertising activity.
For EEA, UK, and Swiss traffic, RealScaner will use Google Privacy & Messaging or another Google-certified consent management platform integrated with the IAB Europe Transparency and Consent Framework. RealScaner will send consent signals that match the user’s choice and will not request personalized advertising without the required consent. If a user rejects optional advertising storage, advertising can be disabled.
Google’s Business Data Responsibility information is available at:
https://business.safety.google/privacy/
9. Third-party providers and disclosures
We disclose or allow access to limited information to providers that help operate, secure, support, analyze, or monetize the Service. Current categories include:
- hosting, CDN, infrastructure, and security providers;
- Cloudflare;
- Google Analytics;
- Google AdSense and its participating advertising partners;
- contact-message, email, or ticketing providers; and
- providers listed in the active consent-management platform.
We can disclose information when necessary to comply with law, respond to a valid legal request, investigate fraud or abuse, enforce these Terms, protect rights and safety, or protect the security and integrity of the Service.
We do not sell document files or signatures. We do not normally receive the content of files processed locally by the browser.
Microsoft Clarity is not described as an active provider in this draft because it was not observed on the reviewed live pages. If Clarity is enabled, add its purposes, cookies, retention, consent behavior, and privacy links before activation.
10. International transfers
RealScaner and its providers can process information in countries outside your country, including countries outside the EEA, the UK, or Switzerland. Where required, transfers use an adequacy decision, standard contractual clauses, another approved safeguard, or a permitted derogation. Contact feedback@realscaner.com for information about applicable safeguards, subject to lawful limitations.
11. Retention
Retention depends on the data type:
- Local document content remains in browser memory or temporary storage until the session ends, the page clears it, or you clear browser data. Downloaded files are stored by you on your device or chosen destination.
- Theme and consent records remain in browser storage until changed, replaced, withdrawn, or cleared.
- Contact messages are retained only as long as necessary for the stated support, privacy, security, dispute, and legal purposes. Insert the actual retention period after confirming the contact system.
- Hosting, security, analytics, performance, and advertising providers retain information under their own configurations, policies, contracts, and legal duties.
12. Security
We use reasonable technical and organizational measures intended to protect information. Local document processing reduces routine transfer of document content. No website, browser, device, network, or storage system is completely secure. Review important files before relying on them and use appropriate security controls for confidential material.
13. European, UK, and Swiss privacy rights
Depending on your location and applicable law, you have the right to:
- receive information about processing;
- access personal data;
- correct inaccurate data;
- erase data;
- restrict processing;
- object to processing based on legitimate interests;
- object to direct marketing;
- receive portable data where applicable;
- withdraw consent; and
- lodge a complaint with a supervisory authority.
You can submit a request through https://realscaner.com/contact-us/ with the subject “Privacy request” or email feedback@realscaner.com. We can request information needed to verify your identity. We normally respond within one month where GDPR or equivalent law requires that period.
Because RealScaner does not normally store documents or require accounts, we cannot to identify or retrieve data held only in your browser or controlled independently by Google, Cloudflare, or another provider. Exercise rights directly with those providers where appropriate.
14. US state privacy rights
US privacy rights vary by state. Where applicable, RealScaner provides rights to access or know, correct, delete, obtain a copy, opt out of sale or sharing, opt out of targeted advertising, limit certain sensitive-personal-information uses, appeal a refusal, and receive equal service. We do not discriminate against a person for exercising a privacy right.
California disclosure
During the preceding 12 months, RealScaner collected the following categories:
| Category | Examples | Sources and purposes | Disclosed to or shared with |
|---|---|---|---|
| Identifiers and contact information | IP address, browser identifier, name, email address | You, browser, hosting, contact form; operate, secure, support, and respond | Hosting, security, contact providers, Google, Cloudflare; shared for advertising only where enabled and permitted |
| Internet or other electronic network activity | Pages, referral URL, clicks, scrolling, feature use, ad interactions | Browser and analytics/ad systems; measure, improve, secure, and advertise | Google, Cloudflare, hosting, security, and advertising partners |
| Geolocation information | Approximate location inferred from IP address | Browser, Google, Cloudflare, or advertising systems; localization, measurement, security, and advertising | Google, Cloudflare, hosting, security, and advertising partners where enabled |
| Inferences | Approximate interests or audience information created by advertising systems | Google or other providers; advertising and measurement | Google and participating advertising partners where enabled |
| Sensitive personal information | Not intentionally collected through normal browser tools; is included only if voluntarily sent in a contact message | You; support or privacy response | Contact and support providers as needed |
RealScaner does not sell document files. We do not sell personal information for money. When AdSense is enabled, sharing identifiers, network activity, approximate location, or ad-interaction data with Google and advertising partners for cross-context behavioral advertising can be considered “sharing” under California law and can be treated as sale or sharing under other state laws. Use the Your Privacy Choices control to opt out.
The preceding table is a legal disclosure template. Confirm it against the actual data and advertising configuration before publishing.
Opting out and Global Privacy Control
Use the conspicuous “Your Privacy Choices” or “Do Not Sell or Share My Personal Information” link in the site footer to reject targeted advertising and applicable sale or sharing. A person does not need to create an account to submit an opt-out request.
Where required by law, RealScaner honors a valid Global Privacy Control or similar opt-out preference signal as a request to opt out for the browser or device. The signal must be connected to the active advertising and consent systems.
Requests and appeals
Submit an access, correction, deletion, portability, opt-out, or appeal request through the contact form with the appropriate subject or by emailing feedback@realscaner.com. We can verify requests using information reasonably necessary to protect privacy and security. We do not request sensitive documents for verification when less information is sufficient.
If we deny a request, the response will explain the reason and, where required, how to appeal. If an appeal remains unresolved, you can contact the regulator identified by the law that applies to you.
15. Children
RealScaner is a general-purpose utility. It is not directed to children under 13, or a higher minimum age required by local law, and we do not knowingly ask children to create an account. If you believe a child provided personal information through the contact form, contact feedback@realscaner.com.
16. Third-party links and services
The Service can contain links to third-party websites, advertisements, or services. Their privacy practices and terms are independent of RealScaner. Review those policies before using them.
17. Changes
We can update this policy when the Service, providers, legal requirements, or data practices change. We will change the date above and request new consent where required for a material change.
18. Contact and complaints
For privacy questions or requests, email feedback@realscaner.com or use https://realscaner.com/contact-us/. EEA, UK, and Swiss users can lodge a complaint with their local data protection authority. Related pages:
