How to scan a document on your phone

A phone scan is good enough for receipts, school handouts, invoices, and meeting notes when the page is flat, evenly lit, and cropped to the paper. A certified copy of an identity document, or anything a clerk must see in person, follows the office’s own process. Use the RealScaner scanner when you want a cleaned-up PDF without sending the page to a scan shop.

Set the page before you open the camera

Put the sheet on a dark, plain surface. That contrast gives the edge detector a clean outline to find. Smooth the page with your palm so the center is not bowed. If the paper is thin, slide a blank white sheet underneath so text on the back does not show through.

Stand so the camera looks straight down. A tilted phone turns a rectangle into a trapezoid. Hold the phone with both hands or brace your elbows on the table. Natural window light from the side beats a ceiling lamp directly above the page, which throws a bright spot in the middle and a shadow from your hands.

What “good enough” looks like

You should be able to read the smallest line on the page at normal zoom before you export. If you cannot, move closer and capture the page again. Flash often washes out glossy paper and thermal receipts. Turn flash off and move the page away from the window glare instead.

  • Fill the frame with the paper, then leave a thin margin so corners are not cut off.
  • One page per capture. Multi-page PDFs are built by adding pages, not by photographing a stack.
  • Receipts fade. Scan them the day you get them if you need the numbers later.
  • Handwriting needs more contrast than printed type. Increase contrast until the ink is dark and the paper stays light gray, not pure black.

PDF or image

Export PDF when you will email the file, combine pages, or add page numbers later with the page number tool. Export a JPEG or PNG when a form only accepts an image upload. PNG keeps sharp text and is larger. JPEG is smaller, and RealScaner saves it at high quality, so fine print stays readable. If the file is too big to attach, run the PDF through PDF compression after the scan, not by photographing from farther away.

Check the file before you send it

Open the export and scroll every page. Look for cut-off signatures, a page photographed twice, and a blank back side you did not mean to include. Rename the file with the date and what it is, for example 2026-09-invoice-northwind.pdf, so you can find it without opening every download.

If pages are out of order, fix that in Organize PDF rather than scanning again. If a portal still rejects the file, follow how to prepare a PDF for an upload portal.
