How to email a PDF that is too large
To email a PDF that is too large, shrink it below your provider's cap or stop attaching it. Gmail allows 25 MB per message and Outlook.com allows 20 MB. Compress the PDF, delete pages, or split it into parts. If it has to stay full quality, upload it to Google Drive, OneDrive, or iCloud and email the link.
The usual culprit is a scanned PDF. A ten-page lease shot on a phone can easily land past 30 MB, and the email client just says no. RealScaner's PDF compressor fixes most of these in the browser, with no account and no upload. Below are the real limits, why a file under the limit can still bounce, and the fixes in the order worth trying.
Gmail attachment size limit
Google's Gmail Help page says the limit for personal Gmail accounts is 25 MB. If your attachments go over that, Gmail removes them and puts a Google Drive link in the email instead. The recipient then opens the file from Drive, so check that the sharing setting lets them see it.
Receiving is a different number. Google announced on March 1, 2017 that Gmail can receive messages of up to 50 MB, while the sending limit stayed at 25 MB. For work and school accounts, the Google Workspace admin sets the limits. Google's Workspace help lists 25 MB for sending on Business and Education plans, and up to 50 MB on Enterprise Plus in Gmail on the web.
Outlook attachment size limit
Microsoft gives three different answers depending on the account:
- Outlook.com and other internet accounts: Microsoft Support says the email size limit is 20 MB. Classic Outlook 2013 and later also applies a 20 MB default to POP3, IMAP, and HTTP accounts, counting all attachments together.
- Exchange Server (business email): the default is 10 MB, set by the Exchange admin.
- Microsoft 365 (Exchange Online): the default maximum message size is 35 MB for sending and 36 MB for receiving. Admins can set a custom limit between 1 MB and 150 MB. Outlook on the web caps the size it lets you send at 25 percent below the configured setting, to allow for encoding.
If you are not sure which one you have, assume 20 MB for a personal address and 10 MB for an office address that is not on Microsoft 365.
iCloud Mail and Yahoo Mail limits
Apple's Mail Drop sends attachments up to 5 GB. When a message is larger than your provider's limit, Mail offers to send the attachments with Mail Drop. They are uploaded to iCloud and the recipient gets a download link that works for 30 days. On iCloud.com, turn it on in Mail settings under Composing with "Use Mail Drop when sending large attachments."
Yahoo Help says the combined size of all attachments in one message, incoming or outgoing, must not exceed 25 MB.
Why a 20 MB PDF can fail a 25 MB limit
Email was built to carry text, so attachments get converted to text before they travel. The standard method is base64, defined in RFC 2045. It turns every 3 bytes of the file into 4 characters, which adds a third. The same standard limits encoded lines to 76 characters, and the line breaks add a bit more.
The providers confirm the overhead. Microsoft's Exchange Online limits page describes a 33 percent encoding increase for messages that leave its datacenters. Google's Workspace receiving limits are measured after encoding, which Google says adds about 37 percent.
So a 20 MB PDF moves as roughly 27 MB. Gmail measures its own sending limit before encoding, so Gmail may let it go. The recipient's server is another matter. If it counts the encoded size against a 25 MB cap, the message bounces back to you. A safe rule: keep attachments under about 18 MB for a 25 MB inbox, and under 10 MB when you do not know what the other side runs.
How to make a PDF small enough to email
Try these in order. Most scanned files are done after step one.
- Compress it. Open Compress PDF, add the file, and pick a preset. Balanced is the default. Download, then check the new size on the result screen.
- Remove pages. Blank backs, duplicate photos, and instruction pages add weight. Delete them in Organize PDF. The walkthrough is in how to delete pages from a PDF.
- Rescan smaller. If the PDF came from raw phone photos, run the pages through the RealScaner scanner. Crop tight to the paper edges.
- Split it. Select a range of pages in Organize PDF and use Extract selected. Repeat for the next range and send each part in its own email.
- Send a link. Upload to Google Drive, OneDrive, or iCloud Drive and email the share link. The file stays at full quality.
Compress the PDF to email size
RealScaner's compressor works differently from tools that only trim metadata. It renders every page as an image and rebuilds the PDF from JPEGs, at the same physical page size. The three presets, from the code:
- Clear: 180 DPI, JPEG quality 0.86. Use it for small print and detailed forms.
- Balanced: 150 DPI, JPEG quality 0.78. The default, fine for most letters, receipts, and IDs.
- Smaller: 120 DPI, JPEG quality 0.62. Use it when size matters more than fine detail.
Pages are processed one at a time on your device, with a progress bar and a cancel button. For a password-protected PDF, remove the password in Unlock PDF first. The result screen shows the real new size, and when your original is already the more compact file, as text-heavy PDFs exported from Word often are, it says "No size reduction" so you can send the original.

Remove pages or split the PDF into parts
Organize PDF copies pages rather than converting them to images. Selectable text, vector graphics, and page sizes stay as they were. That makes it the right tool when you cannot afford any loss in quality.
- To shrink, delete the pages the recipient did not ask for and download the new file.
- To split, select pages 1 to 10 and choose Extract selected. The pages stay in the organizer, so you can then select 11 to 20 and extract again.
- Name the parts so the order is obvious, for example
lease-part-1-of-3.pdf.
If the document has fillable form fields, the organizer spots them and, for standard forms, offers to flatten the filled values first.
Rescan the document at a sensible size
Some PDFs are huge because each page is a full-resolution phone photo. The RealScaner scanner saves each page at up to 2,400 pixels on its longest edge and places it on an A4 page as a JPEG. That works out to roughly 200 pixels per inch on an A4 or letter page, plenty for most paperwork.
Crop to the paper edges so the table does not ride along. For text-only pages, the Scanned or B&W finish removes paper texture and shadows, which tends to help compression. If the rescanned file is still too big, run it through Compress PDF afterward. If the pages are already photos, JPG to PDF can build the PDF to a target size such as 1 MB or a custom number. Multi-page tips are in how to scan multiple pages into one PDF.
Send a cloud link instead
A link is the only fix that keeps the PDF exactly as it is. Gmail switches to a Drive link on its own past 25 MB. Microsoft's support page recommends saving the file to a cloud service such as OneDrive and sharing a link. Apple Mail and iCloud.com offer Mail Drop for files up to 5 GB.
Two cautions. Set the sharing permission so the recipient can open the file. And a Mail Drop link expires after 30 days, so it is a bad fit for anything the other person needs to keep on file.
Match the fix to the file
Compress PDF is built for scans and photo pages. For other documents, pick the fix that keeps what matters most:
- Small print: footnotes, contract fine print, and dense tables call for the Clear preset, or split the file instead.
- Selectable text: to keep text searchable, copyable, and readable by a screen reader, delete pages or split the file in Organize PDF, which copies pages as they are.
- Forms: to keep fields fillable for the recipient, send the original or a link.
- Signatures: a drawn signature travels with the page image. A cryptographic digital signature verifies only on the unchanged file, so send that file or a link.
- Links and bookmarks: split the file or send a link to keep them working.

What to do if a PDF file is still too large
If the file is still over the cap at Smaller, the page count is what to cut. Delete pages or split the file. If you need every page at full quality, send a link. And if the recipient's office limits mail to 10 MB, ask whether they take uploads through a portal or a shared folder.

Key takeaways
- Personal Gmail accounts can send attachments up to 25 MB, and larger files are swapped for a Google Drive link.
- Microsoft lists a 20 MB limit for Outlook.com and other internet accounts and a 10 MB default for Exchange Server accounts.
- Base64 encoding makes an attachment about 33 to 37 percent larger in transit, so a 20 MB PDF can fail a 25 MB cap.
- RealScaner Compress PDF rebuilds each page as a JPEG at 180, 150, or 120 DPI, which shrinks a scan right on your device.
- When a PDF has to stay sharp and searchable, remove pages, split it, or share a cloud link instead of compressing.
Common questions
How do I email a PDF that is too large?
Compress the PDF until it fits the attachment limit, remove pages nobody needs, split it into parts, or upload it to Google Drive, OneDrive, or iCloud and send a link. For scanned PDFs, compression alone usually solves it.
What is the Gmail attachment size limit?
Google says personal Gmail accounts can send attachments up to 25 MB. Above that, Gmail removes the attachment and adds it as a Google Drive link. Google announced in 2017 that Gmail can receive messages of up to 50 MB.
What is the Outlook attachment size limit?
Microsoft lists 20 MB for internet accounts such as Outlook.com and 10 MB by default for Exchange Server accounts. Microsoft 365 mailboxes default to 35 MB for sending and 36 MB for receiving, and admins can raise that to 150 MB.
Why does my PDF bounce when it is under the limit?
Email attachments are base64 encoded, which makes them about a third larger in transit. A 20 MB PDF travels as roughly 27 MB, so a server that counts the encoded size against a 25 MB cap can reject it.
My PDF is too large to upload, what can I do?
Check the portal's stated cap, then compress the PDF or delete pages the form did not ask for. If the portal accepts several files, split the document into parts and upload each one.
Will compressing a PDF make the text blurry?
Pick the preset to match the print. RealScaner Compress PDF saves every page as a JPEG image, from 180 DPI on Clear to 120 DPI on Smaller. Clear is the preset for small print, and a before and after preview lets you check the smallest text first. To keep text selectable, delete pages in Organize PDF or send a link.
