How to compress a PDF to 200KB, 100KB, or 1MB

To compress a PDF to 200KB, open RealScaner Compress PDF, pick the Smaller preset, and check the output size it reports. If the file is still too big, delete pages you do not need or split it into two files, then compress again. Page count matters most. One page of text can fit under 200KB. Ten pages usually cannot.

This is the usual problem with exam, job, scholarship, visa, and passport portals. The form says “PDF, max 100KB” and your scan is 3MB. RealScaner does the compression in your browser, so an ID card or marksheet never leaves your device. Below is how to get under the cap, and why some files will not shrink far enough no matter which tool you use.

Why some PDFs will not go down to 100KB

A scanned PDF is a stack of photos. Its size comes from three things multiplied together: how many pages there are, how many pixels each page has, and how hard each picture is compressed.

  • Pages. Every page adds its own image. Five pages cost roughly five times one page.
  • Resolution. An A4 sheet is 8.27 by 11.69 inches. At 120 DPI that is 992 by 1403 pixels, about 1.4 million pixels. At 180 DPI it is 1489 by 2104, about 3.1 million. Halving the pixels roughly halves the file.
  • Image quality. Lower JPEG quality throws away more detail, so the file gets smaller and the text gets softer.

Dense content costs more. A page packed with small print or a color photo takes more bytes than a short letter on white paper. That is why a 12-page marksheet bundle can never reach 100KB while still being readable. The fix is fewer pages, not more compression.

How big is one page? Rough estimates by preset

We estimated this ourselves. We drew a synthetic A4 page of black 11pt text on white, sized it to each RealScaner preset’s pixel dimensions, and saved it as a JPEG at that preset’s quality using the Pillow image library. KB here means 1,000 bytes. These are estimates, not guarantees. Your browser’s JPEG encoder, the paper, and the lighting will move the numbers.

  • Full page of text (about 40 lines): Clear about 510KB, Balanced about 330KB, Smaller about 180KB.
  • Half-filled form (about 18 short lines): Clear about 210KB, Balanced about 140KB, Smaller about 80KB.
  • Grayscale: converting that text page to grayscale saved only about 3 percent. Most of the bytes go to the edges of the letters, not to color.

Use these to plan before you upload. At the Smaller preset, a 100KB cap fits about one sparse page. A 200KB cap fits one full page. 500KB fits two or three full pages, 1MB about five, and 2MB about ten. Photos, stamps, and colored backgrounds push every figure up.

How to compress a PDF below 200KB with RealScaner

  1. Open Compress PDF and choose one PDF. For a password-protected PDF, remove the password in Unlock PDF first. For an e-Aadhaar or e-PAN, see the Aadhaar PDF password or the PAN card PDF password.
  2. Pick a preset. Clear is 180 DPI at JPEG quality 0.86. Balanced is 150 DPI at 0.78 and is the default. Smaller is 120 DPI at 0.62. For a hard KB limit, start with Smaller.
  3. Compare the before and after preview of a page. Zoom in on the smallest text, such as a roll number or date of birth, and make sure you can still read it.
  4. Press Compress PDF. Pages are processed one at a time on your device, with a progress bar.
  5. Read the Output size. If it is under the cap, download it. If the result says No size reduction, your original is already the more compact file, so send that one.

Compression keeps the original page sizes and your page order. To fix order or drop pages, use the Organize this PDF next link on the result screen.

How to get under a hard KB limit

RealScaner Compress PDF offers three presets and then tells you the real output size, so you always know where the file stands. If Smaller is still over the limit, work through these steps in order:

  1. Use Smaller. It is the strongest preset, at 120 DPI.
  2. Remove pages. Open Organize PDF and delete blank backs, instruction sheets, and duplicate copies. Organize PDF copies pages without turning them into images, so this step does not lower quality. See how to delete pages from a PDF.
  3. Split the file, if the portal allows more than one upload. In Organize PDF, select pages and use Extract selected to save them as a separate PDF. Then compress each part.
  4. Rescan only what is needed. If you made the scan yourself, scan just the pages the form asks for. Fill the frame with the paper so no table or background is wasted. The RealScaner scanner has a B&W filter for crisp text, but our test above suggests color is not the main cost.
  5. Build the PDF from photos with a target. If you have the pages as JPG, PNG, or WebP photos, JPG to PDF lets you set Target PDF size to 200 KB. It re-encodes the images until the whole PDF fits, counting 1 KB as 1,000 bytes, and shows the real size of the result.
  6. Upload a JPG if the portal accepts it. Compress Image does have a target size: 50KB, 100KB, 200KB, 500KB, 1MB, or a custom value from 1KB to 10240KB. It works on JPEG, PNG, and WebP files. To turn a PDF page into a JPG under a cap, use PDF to JPG and set a maximum KB per image.

Compress PDF keeps every page in full color, which costs a text page little, as the estimate shows.

Compress a PDF to 50KB, 100KB, 500KB, 1MB, or 2MB

Limits differ by portal and by document. For example, an AIIMS Rishikesh recruitment notice lists 100KB for the date-of-birth certificate, category certificate, and address proof, but 500KB for a single PDF of all educational marksheets and degrees. A 2025 applicant guide from the Embassy of India in Bogota says supporting documents for passport applications must be PDF, with a maximum of 1MB, and that all uploaded documents together must not exceed 1MB. Always read the instructions for the exact form you are filling.

  • 50KB: very tight. Expect one sparse page at most. If the portal allows a JPG, use a target-size image instead.
  • 100KB: one page at Smaller, if it is not crowded. Crop away margins and background when you scan.
  • 200KB: one full page at Smaller, or two sparse ones.
  • 500KB: a few pages at Smaller. Start with Balanced if you only have one or two.
  • 1MB to 2MB: Balanced often works for short packets. Switch to Smaller for longer ones, and watch any total-size rule across all uploads.

Upload checks beyond size are covered in how to prepare a PDF for an upload portal. If the limit is an email attachment cap rather than a portal, read how to email a PDF that is too large.

KB vs KiB: why a “195 KB” file can still fail

“Kilo” means 1,000 in SI units, per NIST. The binary prefix kibi (Ki) means 1,024. So 200 KB is 200,000 bytes and 200 KiB is 204,800 bytes. Systems do not agree on which one they show.

  • Windows File Explorer divides by 1,024 but writes “KB.” We checked on Windows 11: a file of exactly 200,000 bytes shows as 195 KB.
  • Apple notes that storage makers count in decimal, while some older systems, such as OS X Leopard and earlier and iOS 10 and earlier, report sizes in binary.
  • RealScaner’s Compress Image counts 1 KB as 1,000 bytes, so its 200KB target stays at or under 200,000 bytes and passes either definition.

You rarely know how a portal counts. Leave a margin of about 5 percent when a tool or file manager shows binary KB. For a 200KB limit, aim for 190KB or less as Windows reports it.

How to check a PDF’s file size on any device

  • Windows: right-click the file in File Explorer and choose Properties. The Size line shows the KB figure and the exact byte count in brackets. Use the byte count.
  • Mac: select the file in Finder and choose File > Get Info, or press Command-I.
  • iPhone: open the Files app and find the PDF. In list view the size appears under the file name. You can also touch and hold the file and choose Get Info.
  • Android: in Files by Google, open the file’s More menu and tap File info. Size display can vary by phone maker and app.

How to reduce PDF file size on a Mac or in Adobe Acrobat

On a Mac, Preview can shrink a PDF without any extra app. Apple’s steps: open the PDF in Preview, choose File > Export, choose Reduce File Size from the Quartz Filter menu, and click Save. Apple warns the result may be lower quality than the original, and it has no exact KB setting.

In Adobe Acrobat, the Compress a PDF tool opens the PDF Optimizer under Advanced Optimization, where you can lower image resolution and quality. In one Adobe Learn demo this took a 4.6MB file down to 715KB. These tools can keep text selectable, which suits PDFs made from Word. For more on keeping text readable, read compress a PDF without ruining the text.

What RealScaner compression does

  • It saves every page as a JPEG image at the preset you pick, which is what shrinks a scan.
  • It reports the real output size, and labels the result No size reduction when your original is already the more compact file, as a text PDF exported from Word often is.
  • It keeps the original page sizes and page order.
  • It works on your device, so the file is never uploaded.

A certificate PDF with a verifiable digital signature stops validating once any tool changes the file. Keep the signed original and ask the portal or the issuer what to upload.

Key takeaways

  • RealScaner Compress PDF has three presets: Clear (180 DPI), Balanced (150 DPI, the default), and Smaller (120 DPI, JPEG quality 0.62).
  • Compress PDF reports the real output size, so you reach a cap with the Smaller preset, by cutting pages, or by splitting the file. JPG to PDF can aim a PDF built from photos at an exact target size.
  • By our rough estimate one full A4 page of text at the Smaller preset is about 180KB, so page count decides whether a PDF can reach 100KB or 200KB.
  • Compress PDF saves every page as a JPEG image, which is what shrinks a scan. A digitally signed PDF stops validating once any tool changes it, so keep the signed original.
  • Windows shows a 200,000-byte file as 195 KB because it divides by 1024, so aim a few percent below any portal limit.

Common questions

How do I compress a PDF to 200KB?

Open RealScaner Compress PDF, choose the Smaller preset (120 DPI, JPEG quality 0.62), compress, and read the output size. If it is still over 200KB, delete pages you do not need in Organize PDF or split the file, then compress again.

How can I compress a PDF to 100KB?

A 100KB PDF usually means one page, or two very sparse ones, at a low resolution. In our estimate a full A4 page of text at RealScaner’s Smaller preset lands near 180KB, so a 100KB cap often needs fewer pages or a JPG upload instead of a PDF.

Can I compress a PDF to an exact size like 200KB?

RealScaner Compress PDF works with three presets, Clear, Balanced, and Smaller, and reports the real output size, so you see at once whether the file fits under 200KB. For an exact target, build the PDF from photos in JPG to PDF, which takes a target size such as 200 KB, or use Compress Image for JPEG, PNG, and WebP files.

How do I reduce PDF size to 1MB or 2MB?

Try Balanced first and check the result. If the file is still over the cap, switch to Smaller, then remove blank backs and duplicate pages. By our rough estimate a 1MB cap fits about five full text pages at Smaller and a 2MB cap about ten.

Why does my PDF show “No size reduction”?

It means your original is already compact. RealScaner Compress PDF saves every page as a JPEG image, which shrinks scans and photos. A PDF made from Word or a website is mostly text, which is already tiny, so RealScaner checks the result and labels it No size reduction, your cue to send the original.

Is 200KB the same as 200 KiB?

No. 200 KB is 200,000 bytes in SI units, while 200 KiB is 204,800 bytes. Windows File Explorer divides by 1024 but still writes KB, so a 200,000-byte file shows as 195 KB. Stay a little under the cap to be safe.
