How to create an electronic signature for free
To create an electronic signature for free, open the RealScaner Signature Maker, draw your name with a finger, stylus, or mouse, or upload a photo of your signature on white paper, then download the transparent PNG. The background is removed and the image is cropped to the ink. Everything runs in your browser, with no account and no upload. You can then place that image on a PDF, a Word file, or a form.
Most people search this when a landlord, school, or HR team emails a PDF and says “sign and send it back today,” and there is no printer in the house. A signature image solves that job. It is not the same thing as a certificate-based digital signature, and this guide explains where the line sits and which documents still need pen and paper.
What counts as an electronic signature?
US law defines an electronic signature very broadly. The federal ESIGN Act and the Uniform Electronic Transactions Act (UETA) both describe it as “an electronic sound, symbol, or process attached to or logically associated with a record and executed or adopted by a person with the intent to sign the record.” A typed name at the end of an email, a click on an “I agree” box, and an image of your handwritten signature on a PDF can all fit that definition. What matters is the intent to sign.
The European Commission makes the same point in its eSignature FAQ: something as simple as writing your name under an email might be an electronic signature. The EU calls this the simple level.
How to create an electronic signature with RealScaner
The Signature Maker has two tabs, Draw and Upload image. Both end in the same clean PNG.
- Open realscaner.com/signature-maker on a phone, tablet, or computer.
- To draw, stay on the Draw tab and sign inside the box. A finger or stylus on a touch screen gives a smoother line than a mouse. Undo removes the last stroke and Clear starts over.
- To use real ink, choose Upload image and pick a PNG, JPEG, or WebP photo of your signature. RealScaner reads the paper color from the edges of the photo and fades it to transparent.
- Move the Background tolerance slider until the paper disappears but the strokes stay full. Higher values remove more light paper.
- Pick an ink color. The default is a dark navy, and every visible stroke is recolored to the color you choose.
- Choose Download PNG to save a transparent file, or Copy signature to paste it straight into another app if your browser supports copying images.
The download is cropped to the ink, so there is no empty margin to trim later. The image is prepared on your device and is never sent to a server for processing.
How to add an electronic signature to a PDF
If the document is a PDF, skip the download and use the handoff. Choose Sign a PDF in the Signature Maker. RealScaner stores the PNG in your browser’s session storage for one use and opens Sign PDF with the signature already loaded.
- Open the PDF in Sign PDF. The pages are not turned into images, so text and links stay as they were.
- Add the signature, then under Place on choose This page only, All pages, or Chosen pages, such as 1, 3-5. Add a typed name or date box if the form asks for one.
- Drag the box onto the signature line. Drag its corner to resize it, or focus it and use the arrow keys to nudge it and the plus and minus keys to resize it.
- Download the signed PDF and open it once to check every signed page.
You can also draw or upload a signature directly in Sign PDF without visiting the Signature Maker first. If the paper form is not digital yet, scan it first with the RealScaner scanner, as shown in how to scan a document to PDF. For placement advice, see the guide on adding a signature to a PDF.
What is the difference between an electronic and digital signature?
An electronic signature is about intent. It can be an image, a typed name, or a click. It looks like a signature, but on its own it proves little about who placed it, and anyone can copy an image.
A digital signature is about cryptography. Software uses a certificate issued by a certification authority to seal the file. Microsoft’s help page says you need a signing certificate to create a digital signature, and that a digitally signed document becomes read-only to prevent changes. In PDF files, the ETSI standard EN 319 142-1 (version 1.2.1, January 2024) defines PAdES, the European format for these signatures, built on the PDF signature format in ISO 32000-1.
The EU sorts this into three levels. A simple electronic signature is the broad category. An advanced electronic signature must be uniquely linked to the signer, identify them, stay under their control, and make later changes to the data detectable. A qualified electronic signature is an advanced one created with a qualified signature creation device and based on a qualified certificate. RealScaner makes the first kind: a clean, simple signature image for everyday forms and agreements.
Is an electronic signature legally binding?
Usually yes, for ordinary agreements, with clear exceptions.
- United States. The ESIGN Act, 15 U.S.C. 7001, says a signature or contract in interstate or foreign commerce may not be denied legal effect solely because it is electronic. UETA, the 1999 uniform state law, adds that “if a law requires a signature, an electronic signature satisfies the law,” but it only applies when both parties have agreed to deal electronically. States adopt UETA one by one, so check your state’s version.
- European Union. Under the eIDAS Regulation (EU) No 910/2014, no electronic signature may be denied legal effect or refused as evidence solely because it is electronic. Only a qualified electronic signature has the same legal effect as a handwritten signature in every member state.
- India. Section 3A of the Information Technology Act, 2000 lets a person authenticate an electronic record with an electronic signature or technique that is reliable and listed in the Act’s Second Schedule. One reliability test is that changes after signing are detectable, which a pasted image does not provide. For filings that ask for a valid electronic signature, the government’s Aadhaar eSign service uses Aadhaar e-KYC with a fingerprint, iris scan, or one-time password, and issues a short-lived digital signature certificate.
Some documents still need wet ink, a notary, or a specific signing system. ESIGN, in 15 U.S.C. 7003, does not cover wills, codicils, and testamentary trusts, adoption, divorce, and other family law matters, or court orders, notices, and official court documents. It also excludes notices of foreclosure, eviction, and utility shutoff. India’s IT Act lists wills and trusts in its First Schedule of documents the Act does not apply to. Deeds, notarized affidavits, and many real estate filings follow local recorder and notary rules that vary by state and country. When in doubt, ask the person receiving the document what they accept before you sign.
How to create an electronic signature in Word, Acrobat Reader, or Mac Preview
You may already have a free signing tool installed.
- Microsoft Word. The fastest way is to insert your transparent PNG as a picture and drag it onto the line, or paste it after Copy signature. Word’s own route is Insert, then Add a Signature Line in the Text group. You right-click the line, choose Sign, and add a typed name, a handwritten inking signature, or an image. Making it a real digital signature requires a signing certificate.
- Adobe Acrobat Reader. Adobe describes Reader as free and says it can fill out and sign PDFs. In the Fill & Sign tool you draw, type, or choose an image of your signature, then place it. Adobe’s online sign tool works too, but its page says your file is uploaded to Acrobat web.
- macOS Preview. Open the PDF, show the Markup toolbar, and click Sign. Apple lets you sign on the trackpad, hold a signature on white paper up to the camera, or sign on a nearby iPhone or iPad. Then drag the signature into place and resize it with the handles.
Each of these has its own flow. A RealScaner PNG works in all of them because it is a plain image with a transparent background, and you can reuse the same file across apps.
Tips for a signature that looks right on a form
- Use a dark pen. A black or dark blue felt tip or gel pen gives a solid line. Ballpoint on cheap paper can look gray and broken after cleanup.
- Sign on plain white paper. The background removal is tuned for light, plain paper, so sign on a blank sheet for the cleanest result.
- Shoot in even light. Use daylight from a window, turn off the flash, and keep your phone’s shadow off the page. Hold the camera straight above the ink.
- Fill the frame. Sign larger than usual and crop the photo close to the signature. The Signature Maker pad is 900 by 300 pixels and the PNG is cropped to the ink, so a big, centered signature keeps more detail than a tiny one in the corner.
- Size it to the line. In Sign PDF the Size control sets the signature from 3 to 100 percent of the page width. Match it to the signature line and keep it off printed text, dates, and other people’s signatures.
- Pick a formal color. Black or dark navy reads as ink on most forms. Bright colors can look like an edit.
If you are turning a photo of the whole signed page into a file, how to turn a photo into a PDF covers lighting and cropping in more detail.
What RealScaner signing does
- It makes a simple electronic signature, a visible image you place yourself. When a recipient asks for a certificate-based digital signature, a PAdES signature, or an EU qualified electronic signature, use the signing service they name.
- You sign and send the file yourself, so the document never passes through a signing service.
- Sign PDF leaves form fields editable, so you can fill them in the app the form came from. Keep the signature clear of fields you still need to type in.
- Sign PDF keeps text, links, and fields as they are. The scanner workspace has its own signature tool for scanned pages, where the PDF is built from page images on A4 pages.
- Adding anything to a PDF that already carries a digital signature invalidates that signature, so Sign PDF spots it, warns you, and asks you to confirm first.
If the signed file is too large for an upload portal, shrink it with Compress PDF. Remove an unsigned duplicate page with Organize PDF. Before you send it, run through how to prepare a PDF for an upload portal.
